Work requires significant independent judgment, problem solving, and decision making skills within prescribed limitations. Interprets guidelines to specific situations that are not covered by policies or procedures.
Work includes the maintenance of various record systems, the creation of reports involving payroll, employee, student, departmental records, and statistical data. Work also includes composing routine memoranda, correspondence and written materials requiring knowledge of institutional policies and procedures, scheduling meetings, and making travel arrangements. Limited leadership may be exercised over small teams of co-workers or student employees.
Occasional supervision and oversight is provided to employees in this classification.
1) Support Human Resources programs and processes
a) Manage mandatory employee training; update user information; issue training modules; monitor and track; and provide follow up. Update employee training records both paper and electronically.
b) Manage the EHA Wellness Program.
c) Communicate Continuum (EAP) information to all benefit eligible employees.
d) Coordinate the Hepatitis B Immunization process.
e) Process forms and maintain logs for employee tuition waivers, perform audits and reports as needed.
f) Assist with processing and tracking all annual performance appraisals.
g) Assist with maintenance of personnel file folders.
h) Coordinate the exit process by setting up exit appointments, maintaining/processing documents, and tracking.
i) Be knowledgeable to assist employees with completing work comp forms.
j) Create and enter data for the NSCS Board of Trustees Personnel Action report.
k) Complete requests for employment verification.
l) Review and reconcile the bank change register report to employee forms for accuracy when needed.
m) Facilitate the Defensive Driving program by receiving documentation and tracking.
n) Perform background checks for full-time, part time, and adjunct employees if needed.
2) Perform general office support
a) Perform mail distribution and pick up.
b) Answer all reception phone calls, transfer to the appropriate person and/or take phone messages.
c) Greet and assist all students, employees and guests as they arrive in Human Resources.
d) Maintain office inventory and place approved orders.
e) Support the Human Resources department with copying, filing, scanning, and distribution.
3) Coordinate on-boarding new employees
a) New Hire Orientation
i) Coordinate new employee orientation meetings.
ii) Schedule new employee meetings with NAPE representative.
iii) Track, monitor, and file orientation forms.
b) Track new hires and send out all campus Welcome email monthly.
c) Monitor, send reminders, and track 6 month performance appraisals.
4) Provide basic support through PeopleAdmin by updating employee records and assist with data entry as needed
a) Enter new user data.
b) Update existing user data.
c) Inactivate users and outdated job descriptions.
d) Track and schedule user training.
e) Support staff applicant review when needed.
f) Perform audits.
5) Assist with employment contracts and appointment letters
a) Issue completed contract and appointment letters.
b) Track mailed contracts per the 20 day return guidelines.
c) Process and distribute returned & signed contracts.
6) Support monthly and bi-weekly employment payroll process
a) Assist bi-weekly and monthly employees with instructions on how to fill out employment paperwork correctly.
b) Collect, review, record and reconcile work/leave records for non-exempt employees as needed.
7) Review recommends for employment and contract recommendations for Director.
8) Support special events and projects such as but not limited to: Support & Professional Staff Recognition Brunches, Fall Opening Meeting, employment searches, and training sessions.
9) Maintain and update Campus Directory on the WSC webpage.
10) Support all Human Resources functions with other duties as assigned by the Director of Human Resources.
