Primary Duties

Position Summary

  • Serve as Administrative Specialist for assigned plan group of clients, handling all cross-department communications, workflow and review all paperwork as needed
  • Assist with cross-department client guidelines to ensure the plan is meeting all retirement plan qualifications and make recommendations for changes when needed
  • Train on various new hire orientation trainings
  • Complete the following administrative tasks (inclusive of but not limited to) for assigned clients, meeting daily deadlines through accurate and efficient data entry, filing/scanning, creating/generating, maintaining/updating, uploading/maintenance of website, mailing, and/or saving in electronic filing system:
    • Quarterly statements
    • Advisor logos and contact information
    • Quarterly Performance data/FMMR/Model Returns
    • Fiduciary Audit File Binders
    • Lost participant searches
    • Service and custodial agreements
    • Closing of the House documents
    • Annual Fee Disclosures
    • Account reports, notice, forms, and other documents
    • RK Only client setup in Engagement
    • Bi-monthly reconciliation of Relius plan balances to website balances
    • Daily monitoring of fund update emails in recordkeeper inbox
    • Monitor work tray and tasks in PensionPro continuously and complete all tasks 
    • Daily collection and distribution of incoming/outgoing mail
    • Communicate timely and efficiently using various channels
    • Serve as team’s back-up for cross coverage to meet department deadlines
    • Assist management
    • Special projects


Hours worked:

The following are guidelines of typical hours needed to complete the work during the year. The hours needed may vary depending on workload.

  • Primary hours will be normal trading business hours (7:30-4:30) working 40 hours per week. 
  • During certain seasons some overtime may be necessary, ranging from approximately 41-50 hours when approved by management.
